What does customer service outsourcing cost at Flowdesk?
You pay per ticket, not per hour. The Basic rate is EUR 0.70 per ticket, which means you start at around EUR 200 per month. There are no setup fees and no charge for the dashboard. That makes the cost of outsourcing customer service completely predictable: you know up front what a month costs and you never pay for idle time.
How does outsourcing customer service for an online store actually work?
In three steps. First an intro call in which we work out whether we are a fit for your store. Then the kick-off: we connect your mailbox, WhatsApp Business and payment providers, go through your returns and shipping policy and set up your dashboard. After that we go live, usually within a few days. From that moment our agents answer your customer questions under your brand name, and you see what is happening live in the dashboard.
What is a chargeback and how do I prevent as many as possible?
A chargeback is a reversal: your customer tells their bank or payment provider that a payment was not justified, and the amount is pulled back out of your account. Most chargebacks are not caused by fraud but by confusion over delivery times, returns, or a customer who never got a reply. That is why fast customer support is your best protection. We respond before a customer goes to their bank, and if it does turn into a dispute, we submit the evidence in the format the payment provider expects.
Which payment providers and disputes do you handle?
PayPal, Klarna, Stripe and Mollie. Every provider has its own procedure, burden of proof and deadlines, and that is exactly where merchants come unstuck. We know those flows and file cases complete. On average we win 88 percent of all disputes we handle for clients. Using a provider that is not on this list? Just ask, we will always look at whether we can add it.
How quickly can you start?
Usually within a few days of the kick-off. The lead time depends mostly on how quickly we get access to your mailbox, WhatsApp Business and payment providers. If you have a peak coming, say Black Friday or a campaign that takes off, we scale up with priority.
Will my customers notice that customer service is outsourced?
No. Our agents work under your brand name, in your tone of voice and according to your policy. We build a library of replies together with you, so returns, delivery times and warranty questions are handled exactly the way you want. Your customer notices no difference, other than getting an answer faster.
Which channels do you take over besides email?
WhatsApp Business, the contact form on your store, and the messages and comments on your social channels. We can also take over communication towards your sourcing agent or supplier, so return reasons and complaints land at the source instead of sitting in your inbox.
What exactly do I see in the dashboard?
In your client portal you see all your tickets and their status live, the number of tickets this month, the disputes that ran and how many we won, your refunds and the open items: what we need from you and what we are working on. On top of that you get a monthly report with the most common questions and concrete improvements, so you can see which product or delivery time generates the most tickets.
Is this suitable for dropshipping too?
Yes, dropshippers make up a large share of our clients. Longer delivery times and overseas suppliers generate more questions and more disputes than a regular store. We are used to that situation, we talk to your sourcing agent directly, and we know how to win a PayPal case where delivery time is the point of contention.
How do you handle returns and my returns policy?
We handle return requests within your returns policy: assess, inform the customer and log why the product is coming back. Those return reasons end up in your report, so you can see whether it is about sizing, product quality or expectation management. That way you bring your return rate down over time instead of just processing it.
Am I tied to a contract or a long notice period?
No. The agreement runs for an indefinite period and you cancel with one full calendar month of notice. Cancel in March and it ends on 30 April. We believe you stay because your numbers improve, not because a contract holds you. On Premium we do agree on volume, but even there you are never locked into a one-year term.
How do you help improve my customer service in the long run?
Beyond handling tickets, we look for the cause behind them. Every month we deliver a report with the most common questions, the bottlenecks in your process and concrete proposals: a clearer product page, an adjusted delivery expectation, a better returns instruction, or an automation that makes a whole ticket category disappear. That way your ticket volume per order falls while your revenue grows.
